This job posting is for either our Pasadena office or Santa Ana Office

Responsibilities include but are NOT limited to:

  • Proofing and formatting documents ranging from one-page memorandum to 100+ page reports (requires strong proficiency in Word)
  • Organization of project documentation
  • Processing monthly General Contractor Applications for Payment (requires strong proficiency in Excel)
  • Online and/or in-person research and telephone interviews with City departments
  • Report exhibit preparation
  • Invoicing
  • Filing/archiving electronic files
  • Travel coordination
  • General office items including answering phones, maintaining a clean working environment, ordering office supplies, etc.


  • Advanced proficiency in Word, Excel, and Outlook, as well as other MS Office products
  • Excellent spelling/proofing/editing skills
  • 2 to 5 years previous experience in office environment with a General Contractor, Architect's, Engineer's, or similar type office
  • Ability to work with numbers during the process of 50+ line item Applications for Payment
  • Type 50+ wpm


  • MUST have a "can do" and optimistic attitude, and maintain a professional attitude and presence
  • MUST be able to handle multiple tasks at a time and be able to prioritize and stay organized
  • MUST have strong English skills. A background in English is a plus
  • Ability to work well under pressure
  • Good telephone manner and skills
  • Detail oriented and end-result driven
  • Able to work overtime when needed, which can be quite often given the number of deadlines in a given week
  • Highly dependable; looking for long-term
  • Experience with programs/online software such as Bluebeam, Box.com, Office 365/Dynamics 365 is a plus
