OverviewThe Special Events Sales Manager is responsible for soliciting, planning, and managing successful group and event dining to increase sales.

Job Description:

  • Builds relationships with companies and individuals in order to maximize bookings. 
  • Identifies new target accounts by prospecting and setting new meetings.
  • Prepares all special event contracts, charges the necessary deposits, and ensures deposits and full payments are received by the required deadlines.
  • Assist in creating event marketing collateral and strategies
  • Attends BEO meetings to go over event details and guests’ expectations.
  • Attends monthly networking mixers and forms relationships with new and potential clients
  • Host networking events on property – new business, client appreciations, etc.
  • Maintains strong relationships with concierges, past corporate groups, and organizations.
  • Creatively position and sell events meeting budget numbers
  • Manage all client account details and logistics
  • Create BEO’s for the accounts assigned
  • Coordinate and attend walk-through’s with clients in regards to events
  • Generate floor plans for assigned event accounts
  • Up sell items for food and beverage and negotiate items like in-house AV, equipment, etc.
  • Assist in creating the run of show for all internal events
  • Arrange vendors and security for all events
  • Arrange security for all events
  • Oversee any necessary logistics to ensure integrity of event and that all standards are evident
  • Participate in tastings with the banquet chef and give input on client expectations
  • Work closely with the chef to generate custom menus for client requests
  • Assist in updating and editing banquet menus   
  • Staff, manage and execute events in venue with Banquet Manager
  • Document final arrangements with clients on function sheet. Obtain all specifications and pertinent information concerning the event, including but not limited to, number attending, schedule of events and menu.
  • Regularly review upcoming event function sheets and have thorough understanding of all requirements on upcoming scheduled events.
  • Inspect event room prior to the start of each function – check room setup, menu, service staff, etc. conforms to function sheet.
  • Establishes, develops and maintains positive business relationships.
  • Evaluates guests’ complaints and responds promptly and appropriately.
  • Follows up with each client after the event has taken place to obtain feedback –then documents comments for all future events.
  • Greets the client and introduces client to the Special Event Manager on duty.
  • Updates shared calendars with tentative and definite business.
  • Answers questions about ingredients, allergies, preparation, and description of the menu items.
  • Develops a thorough understanding of the special event capabilities all TAO Group Venues.
  • Continually exceeds sales by a 10% increase over the year/month before.
  • Be passionate about exhibiting gracious hospitality.
  • Check daily receipts to make certain checks are rung in correctly; post events next day
  • Assist hotel accounting with vendor invoicing, disputes and check discrepancies
  • Close out month end books: ensure all events are rung in and there were no discrepancies between client contract and venue receipt
  • Complete weekly/monthly reports including but not limited to:
    • Monthly Banquet Up Sell Report comparing contracted food and beverage minimums from the sales dept. and final banquet numbers up sold by Catering Team
    • Assist with pulling the monthly catering revenue reports for Food and Beverage Director
    • Catering Forecast
    • Monthly P&L Reporting
    • Tracking Promotional Sales


  • Have Opera/Delphi/Tripleseat experience
  • Strong guest service and leadership skills.
  • Ability to handle multiple tasks and prioritize work load in a deadline-driven, demanding environment.
  • Must be organized, self-motivated, and proactive with strong attention to detail.
  • A 4-year college degree is highly desirable.
